We believe trust is built on knowledge — and stakeholders, clients, and society have the right to know when and how AI is used in our services and decisions. This policy defines our commitments to disclosure, explainability, and communication.
We disclose AI use in the following cases: when making decisions or recommendations that affect individuals or companies; when generating content presented to clients or the public; when collecting or processing data through automated systems; when using pattern recognition or automated classification. Disclosure is made in clear, understandable language in a timely manner.
AI-generated content is labeled according to the following rules: fully AI-generated content bears an "AI-Generated" label; AI-enhanced content (with substantial human editing) bears an "AI-Assisted" label; content that uses AI solely as a research tool does not require special labeling. These rules apply to externally published content only.
Explainability requirements are graduated by system risk: Critical and High systems — individual explanations must be available for each decision that can be provided to the affected person upon request, with documented methodology and contributing factors; Medium systems — a general description of how the system works and decision criteria is provided; Low systems — a general functional description is available.
We communicate with stakeholders about AI through multiple channels: Annual Transparency Report — published on our website summarizing our activities, controls, and incidents; Product Notices — integrated into user interfaces when AI features are activated; Inquiry Response — we respond to client inquiries about AI use within 10 business days; Proactive Communication — we notify affected parties when making material changes.
We commit to reporting to regulatory authorities per the following requirements: reporting serious incidents to SDAIA within 72 hours per PDPL requirements; providing requested information to the National Cybersecurity Authority upon demand; disclosing AI use in financial reports where material.
Minthar Holdings publishes an annual transparency report containing: a summary of deployed AI systems (count, classification, purposes); incident statistics and corrective actions taken; bias audit results; policy and control updates; future goals and commitments. The report is published on the website and publicly available.
Any person affected by an AI-based decision has the right to: know that the decision was made with AI assistance; request an explanation of the factors influencing the decision; request a human review of the decision; contest the decision and receive an independent reassessment. Human review requests are processed within 15 business days.
Full disclosure may be exempt for: information that would compromise system security if revealed; trade secrets and algorithms protected by intellectual property rights (with a functional explanation provided in lieu of a technical one); information subject to regulatory or security restrictions. In all cases, we provide the highest possible level of transparency within these constraints.
